September in a Cameroonian school: a queue at the office, forms filled on a bench, birth certificates and school reports shuffled between folders, and receipts written by hand while parents wait. It is possible, but it is slow - and it consumes the exact weeks when staff should be preparing classes.
Each paper file is also a risk: lost forms, illegible handwriting, and duplicate records that take months to discover and fix.
With online admission, the parent fills the form on their phone - name, birth date, previous school, documents - and uploads the supporting files alongside. The school reviews the application, admits the student, and the details drop straight into the student database.
The fee for admission can be paid by Mobile Money at the same time, and the parent leaves with a confirmation there and then. Nothing gets retyped, nothing gets lost, and every file is complete because the system will not accept an application without the required documents.
When registration happens online, the first day of term is for teaching, not paperwork. Class lists exist before the students arrive, uniforms and book fees are pre-paid, and the office spends its time welcoming families instead of writing receipts.
It also ends the most common dispute of the start of term - 'I paid at the office' - because every payment and every file is recorded centrally from the moment it happens.
You do not have to change everything in one year. Launch the online admission form alongside the paper one, and let parents choose. In most Cameroonian schools, the online channel takes over within two terms on its own - because parents would rather fill in a form at home than stand in a queue.
Keep printed receipts for those who pay in person, but issue them from the same system. One source of truth for every student, every document, and every admission fee.
